1 General information

KUG allows you to simultaneously search the catalogues of all participating libraries or predefined search profiles, eg. faculties. If you have already used the login function to access your KUG-account, you can store your preferred catalogues in permanently savable search profiles.

Your search results are displayed on a results page. If you click on an entry you will be directed to its entry page inside the corresponding catalogue. On that page, if you click on the author's name, for example, all other entries by that author listed in all catalogues will be displayed.Clicking on the link all results brings up a list of other works by that author, however only in the selected catalogue.

2 Search Options

Two search forms are available for your research:

2.1 Simple search

2.1.1 General information

Your queries are run through all possible categories and all available databases with search engine technology. Should you wish to single out certain catalogues for your search, please create your own search profile as an authenticated user.

Only 20 hits are shown at a time to prevent you from huge result lists. In this blocks of 20 hits you can browse back and forward.

2.1.2 Search Operators

In the Basic Search all queries entered automatically use the AND-operator and the search is performed in the categories author/name, institution,subject heading, notation, ISBN/ISSN, location mark and year.

  • Word1 Word2 (i.e. Word1 and Word2 must be contained)
    e.g.: kernighan ritchie (entries by both authors are displayed)

2.2 Complex Search

2.2.1 General information

This search form offers a variety of search fields and options. Like in the Simple Search, search engine technology is used here.

2.2.2 Search Operators

2.2.2.1 Operators with multiple search boxes

Each searchfield is connected by boolean AND.

2.2.2.2 Search-relations in a search field

The automatic AND-operator is the standard setting within a given search field, so that all relevant search items can be entered without using any operators.

  • Word1 Word2 (i.e. Word1 and Word2 must be contained)
    e.g.: kernighan ritchie (entries by both authors are displayed)

The following operators or symbols can be used:

  • AND-operator: +Word1 +Word2
    e.g. +kernighan +ritchie (all entries by both authors are displayed)
  • AND NOT-operator: +Word1 -Word2 (Word1 must be contained, Word2 must not)
    e.g. +kernighan -ritchie(all entries by Kernighan, but not by Ritchie)
  • Exact phrase: "Word1 Word2" (Word1 and Word2 must be contained in that specific order)
    e.g. "kernighan, brian" (all entries by Brian Kernighan)
  • Truncation or wildcard: *
    e.g. program* (all entries beginning with the stem 'programm-' while leaving the ending open: e.g. programming, programme or the German programm etc.)

Special Features:
As a full-text search would make little sense for the search options 'notation', 'location mark' and 'complete title', Boolean operators have been disabled in the respective boxes. Only the truncation operator * is allowed.

2.2.3 Examples

  1. You would like to look for books by the computer scientist Brian Kernighan. Then you can enter the following into the author /name search field:
    • "kernighan, brian" (= exact phrase) or
    • +kernighan +brian (= AND operator) or
    • kernighan brian (= AND operator)
  2. You are searching for the Goethe-Jahrbuch (Goethe-annual). The hyphen is read as a space by the search engine. Therefore you can type the following into the title field:
    • "Goethe-Jahrbuch" or
    • +Goethe +Jahrbuch or
    • Goethe Jahrbuch
  3. You would like to search for books about programming. To include English and German books you could use the * as a wildcard to exploit the fact that the words programmieren and programming both contain the common substring programmi. And if you would like to look in both the title and the subject headings, type the following into the free search field:
    • programmi*
    If you enter this search string into the 'title' field, hits containing this item in the title will be displayed. If you type your search query into the 'subject heading' field, then the search results are linked to the subject heading thematically, as categorized by library staff.
  4. You would like to find books about the programming language Perl. Since you also want to find English language books, use the * as a wildcard. You can type the following into the free search field:
    • +programmi* +perl (= AND-operator) or
    • programmi* perl (= AND-operator) when the search option automatic AND-operator within search fields is activated (default setting)
  5. You want to search for books about programming, but specifically not with Perl. As you would like to find both English and German language books, use the * as a wildcard. You can type the following into the free search field:
    • +programmi* -perl (= AND NOT-operator) or
    • +programmi* -perl (= AND NOT-operator)

3 More General Information Regarding Searches

  • Please note that not all libraries enter single articles into their online catalogues.
  • All search terms must consist of at least two characters (letters/numbers)
  • Restrict your search to meaningful words unless you use the search field 'complete title'. For example, to search for the book 'The Unbearable Lightness of Being' the following search string would be sensible: unbearable lightness being
  • Don't worry if your search string is longer than the actual box, just carry on writing. The beginning of the line may not be visible any more, but it will still be transmitted to the database correctly and completely. You can type a maximum of 200 characters into each search field.
  • The search engine is not case sensitive, so it doesn't matter if you type in upper or lower case.
  • The search field 'author/name' is not limited to authors. Other persons (eg. editor, dedicatee of a festschrift etc.) are listed in the results too. But do not enter abbreviated first names. If you are looking for a book by two authors you can type in both names. If you are looking for a specific person, it would be better to type in the name as an exact phrase, e.g. "kernighan, brian".
  • When you use the 'title' field, the search engine also not only scours the main titles but also goes through other titles, such as parallel titles or variant titles.
  • With the search field 'series/volume/source' you can search for a specific volume of a series or the published source for an article (only for libraries that list individual articles).
  • To restrict your search to a certain year of publication, please use the search field 'year' (exact/before/after). To search corresponding year ranges you can use 'timespan from' and 'timespan to'.
  • To search for any of the following symbols please use the appropriate base letter:

    ï, Ï, ñ, Ñ, ã, Ã, õ, Õ, é, É, á, Á, ó, Ó,í, Í, è, È, à, À, ò, Ò, ì, Ì, ê, Ê, â, Â, ô, Ô, î, Î.
    So:
    Substitute i for ï
    Substitute I for Ï
    Substitute n for ñ
    etc.

  • With the option sort by you can rearrange your search results by person/institution, title, numbering, year, publisher, location mark and popularity..
  • Your search profile displays your database selections. Also, you can choose from a range of faculty profiles or your own personalized search profiles (see: My KUG) for the 'search in individual catalogues' settings.
  • The search history provides you with a list of your previous searches with the number of hits and facets used.

4 My KUG

You can access your personal KUG by following the link My KUG in the KUG-navigation bar. You will be directed to the login form and can decide which identity to log in under. You can select the University Library (USB) or institutes that conduct online reservations.

Anyone without a USB user number (and of course anyone who has one) has the option to sign-up with their e-mail address and a unique password (under the heading self-registration). If you should ever forget your password you can have it sent to you via e-mail by following the link underneath the login form.

If you log in with your library user number your password is automatically your date of birth as a six-digit number (ddmmyy: e.g. DOB: March 5, 1975 ;password: 050375), unless you have previously changed it. If for some reason you cannot log in please contact the information or registration desk of the respective library.

As soon as the system has authenticated your login data successfully you can make use of the advantages of My KUG:

  • Your list of interest is saved in My KUG even after the end of your session - you can use it as long as you want! Even if you log on to My KUG later on, all the entries that have accumulated anonymously during that session will be added to your personal list.
  • You can give every title in the catalogues its own tag (=subject heading). These tags are words that have to be typed in separated by spaces. In order to standardize the tags the system automatically norms them, i.e. umlauts are broken down, impermissible symbols are eliminated (all alphanumeric symbols plus +-_. are allowed) and lower case is implemented throughout. If you look under the tab 'tags' in My KUG you can see a summary of all your tags in form of a tag cloud - the size of a word in the cloud depends on the number of entries you have given that tag. The larger a tag's font size, the more entries are connected to it. By clicking on a tag you will receive a list of all entries that you tagged accordingly.
  • If you are logged in with your USB user number, you can initiate an interlibrary loan from the KUG system without having to enter your password again.
  • By logging in with your library card you have immediate access to a summary of your contact information and your account activity (tab: Basic Settings ). Is your address up to date? Has your account been suspended? How many books have you recently checked out, reserved, ordered or are any overdue? Do you have to pay any fees? Which search form would you like as your default setting, which search fields? If you see any discrepancies in your account information please contact the information desk of the respective library.
  • The tab User Account contains detailed information regarding your current loans, (book titles with due date), orders, reservations and fees. However, you cannot extend your media or cancel a reservation from here. To do so, please log in to the catalogue of the respective library.
  • The tab catalogue Profiles allows for you to compile selections of catalogues of your choosing and to save them under a name. In the Advanced Search you can access them under Profile. If you would like to modify or delete them, pick your profile from the select box (tab: catalogue Profiles) and click on Display Profile. The profile name will be automatically placed in the Save As... field. The respective catalogue selection will be displayed which you can modify as you see fit. When you are finished you can save your new selection under the same name or a different name. Your profile definitions and search field settings will remain stored for future searches.

5 Book Location

After you have submitted your search query you will be presented with a list of entries, which, depending on whether you searched in multiple databases, are sorted by library. To find out the address and opening times of a library, click on the name of the corresponding database. Some libraries use a common data pool, e.g. the Pedagogical Faculty. In thatcase, please note down the number in front of the location mark that indicates the exact library, click on Pedagogical Faculty and look for the required library code.

The location mark (=location of a book in a given library) is usually displayed in the results summary. If this should not be the case, you can access the detailed entry by clicking on the title, where it is listed under the heading volumes/items or 'number of collective titles' (by clicking the highlighted number of linked entries).

If you require a book from the University Library of Cologne (USB), pull up the detailed entry and use the link Continue (under Library Loan System) to gain access to the online catalogue of the University and City Library. From here you can order media located in the closed stacks. You can also place a reservation on currently checked out media.

6 Hit Lists, List of Interests and Literature Lists

The link Hit List shows you the current search query and underneath it, the number of hits globally and per database. From here you can click on a catalogue to display the respective list of search results. You can sort the results differently by adjusting the sorting parameters (author/name, title etc. and display by catalogue or globally) confirming your selection by clicking Go.

If you would like to compile a list of interest click on the Clipboard icon. This is accessible from the results page as well as the detailed entry pages. By using your browser's back button you can return to the results page to select other entries. The number behind 'List of Interest' reflects the number of saved items. By using the back button this number may appear to have been set back, but the saved item will remain in your list nonetheless. Entries from other searches can also be added to the list of interest. In the list you will find all important bibliographic data with a reference to the library in possession of the book and its location mark.

You can display your selection in the formats HTML, Text or EndNote and then, by clicking on the appropriate icon, either print it, save it, or send it via e-mail.

You can collect specific titles in literature lists and group them under a common headline for private or public use. Literature lists defined as public can be accessed from anywhere with its Link, that you can use in external web pages. Example

7 Search Result Enhancement

The results are enhanced with additional information across databases. This information is provided by a central enhancement database where the entries are stored according to existing ISBN numbers.

Additionally other automatic enhancements, eg. for a better searchability of titles are integrated:

  • Enhancement with ISBN10 and ISBN13. A given title with a ISBN10 can also be retrieved with the corresponding ISBN13 and vice versa. So you can now find titles with ISBN13, eg. used in catalogues of publishers since 1.1.2007, that were catalogued at a time when only a ISBN10 was known.
  • Enhancements with authors of the main title. This solves the so called Schiller-Räuber-problem in german library systems.
  • Enhancement with a bibkey, a bibliographic fingerprint of a given title that can be used to identify it across separate systems, eg. between KUG and BibSonomy.

7.1 Digitalized Tables of Content

As part of a project, 200,000 tables of content of the University Library's collection of monographs were scanned in and made available as Open Data via CC0 waiver for all libraries in KUG. If a book's table of contents is on file it will be linked in the category TOC. Currently it is not possible to search within tables of content in KUG.

7.2 Recommended Entries

Statistical surveys of library users' borrowing habits as well as KUG userdata indicate which other books readers of a given book also could be interested in. This allows us to show you other books which may interest you in the context of the entry currently being displayed.

7.3 Other Types of Content Enrichment

Other Types of Enhancements:

  • Enhancement with basic classification. Now you can find related titles in a given catalogue.
  • with links to e-books, when they were aquired by the USB Köln. So in every institute catalogue that owns the print edition the corresponding link to the e-book is automatically added. Access restrictions might apply to e-books (only accessible from campus).

Until now only the ISBN13 was used for central enhancements. Additionally a bibkey is now used when there is no ISBN.

8 Popularity-Functions

The KUG's popularity function is very similar to the recommended entries function. It comprises:

  • Top 20: The most popular 20 entries for each catalogue can be displayed by clicking on the tab Overviews.
  • Sort by Popularity: On the search results page you can sort the entries by popularity (most sensibly in descending order). The popularity of an entry is displayed in the column headed P. This allows you profit directly from the search and borrowing habits of other users.

9 RSS-Feeds (syndicated information channels)

RSS Feeds are offered in your selected catalogue or on a given KUG page. If you subscribe to one of these you can see the catalogue's 50 most recent entries (globally or limited to the contents of a category). You can find them by clicking on the icon links to the respective RSS-feed.

The RSS-Feeds themselves are coded in XML, so in order to access them you will need an appropriate program (feed reader, aggregator program). Usually a simple display program such as the FeedView extension for Firefox will suffice.But there are also a variety of specialized RSS-feed readers for all the various platforms (Windows, Linux, Max) that go beyond basic display functions.

Unlike regular website presentations, RSS-feeds in conjunction with specialized programs offer a far greater variety of usage options. For example they can manage the data you view, use different colors for links you have and haven't accessed, archive information, use data-mining with specialized search engine technology etc.

9.1 Types of RSS-Feeds

KUG currently offers the following types of RSS-Feeds:

50 Most Recent Entries in a catalogue
This feed is available on a number of department entry points, both for automatic browser recognition (dynamic bookmarks with Firefox 1.5 or higher) and the main menu entry RSS.
50 Most Recent Entries in a catalogue by an Author
This feed is displayed on the detailed entry screen before the category author/name.
50 Most Recent Entries in a catalogue from an Institution
This feed is displayed on the detailed entry screen before the category institution.
50 Most Recent Entries in a catalogue under a Subject Heading
This feed is displayed on the detailed entry screen before the category subject heading.
50 Most Recent Entries in a catalogue under a notation (classificatory)
This feed is displayed on the detailed entry screen before the category notation.

If your KUG search yielded something of interest in one of our libraries and you are interested in being informed about new media related to that author, institution, subject heading or notation, then click on the respective RSS-feed icon. Your list will open. Please note that you will require a feed reader.

9.2 Example: Installing Feedview for the Browser Firefox

To install the extension Feedview in Firefox versions lower than 1.5 please follow this Link and click on Install Now. A new window will open. Please confirm the installation here. After you restart Firefox and click on one of the RSS-Icon icons in KUG, the respective RSS-feed will open.

If you are using Mozilla Firefox version 2.x or higher you do not require a plug-in. Go to the menu 'tab' in the browser options and simply activateSubscribe to the feed using and select No application selected -without actually selecting an application (!). Then Firefox 2.x will show the feed as requested.

The main link RSS will take you to a page where you can subscribe to general RSS-feeds (i.e. feeds unconnected to a specific search query, e.g.the most recent 50 entries in a catalogue).

10 Mash-Ups with Social Networking and External Services

10.1 Integration of BibSonomy

On the individual entry page as well as on your list of interest you can send the bibliographical information for an entry to BibSonomy by clicking on the icon. BibSonomy is a free social bookmarking service specialized on managing and sharing bibliography lists.

10.1.1 Subject-based Integration of other Sources

The additional source - publications and web pages - in BibSonomy are presented fully integrated in KUG by tags.

When you click on the subject headings/tag in the tab BibSonomy Tags of the title entry you get a list of all titles that are tagged correspondingly in BibSonomy by all its users. In this list you get instant feedback on the local availability of the resource in KUG.

10.1.2 Automatic mirroring of tagged titles to BibSonomy

When tagging titles in KUG they can be automatically uploaded/mirrored to BibSonomy including tags and visibility information (private/public). The user works and tags in the KUG interface, but finds them in BibSonomy too and can use its additional services.

10.2 Integration of Wikipedia

On the individual entry page all names and ISBNs directly link to Wikipedia. If you need information regarding an author you can start your research there. Similarly, you can make easy use of Wikipedia's ISBN search function which helps you to search libraries, online booksellers (first and second hand) etc. without having to work your way through their own websites.

Furthermore links to articles in Wikipedia are shown that reference the current title by ISBN.

Please note that Wikipedia is not peer-reviewed and some articles may not meet academic standards.

10.3 Integration of Google Book Search

Google Book Search had been added to KUG. To show the availability we introduced an image-based system like EZB (library of electronic journals)

In the title entry we look for additional information from Google Book Search with the given ISBN. The user gets feedback on the availability of these informations with a corresponding picture.

  • The green text 'Vollzugriff' (Fulltext) is added to the Book Search icon, when text ist available as full text.
  • The yellow text 'Teilzugriff' (partial access) is added to the Book Search icon, when parts of the text (ToC, example chapters, etc.) are available.
  • No Book Search icon is shown, when the book isn't available in Google Book Search and the user don't get any added value.

11 Overviews

11.1 Clouds

Every catalogue that uses subject headings has a tag cloud of its 200 most common ones. The more entries are linked to a certain tag, the larger it will appear in the cloud.

11.2 Views

Besides the standard-KUG there are a number of special entry points that may offer certain catalogues as the default selection, provide additional information on a subject or function as a quasi-independent department portal. These entry points into different KUG-variants, which are often invisible to the user, are centrally listed here.

13 Load Sharing in KUG

The KUG search portal generally uses a central load balancer. The load balancer is completely transparent. You can directly bookmark every URL in your web browser.
